The Client Notes feature allows you to document key details from your client sessions, helping you track progress, personalize future sessions, and maintain clear client records. You can also share notes with clients for their reference. This feature is now available for our Empowered plan members.
Where to Find the Client Notes Feature

Go to the Bookings Page or via Connections Page
- Navigate to your Bookings section in the Heallist platform.
- You can also go to your Connections page and click on My Clients to select your client and their corresponding session.

What You Can Save in Your Notes
The notes window consists of four key sections to help you organize client insights effectively:

Issues & Challenges
- Document any concerns, obstacles, or topics your client is currently working through.

Background & Context
- Capture relevant details about the client’s experiences, preferences, or past work together.

Goals & Intentions
- Define what the client hopes to achieve through sessions. Over time, you can compare past notes to assess progress.

Plan & Next Steps
- Outline key takeaways, recommendations, or actionable steps for the client to follow between sessions. This part of the Notes section can be sent to your clients for succeeding bookings, if any.
Uploading Files to Your Notes
You can upload supporting documents to your session notes.
- How to Upload:
- Click Browse to select a file from your device or drag and drop the file into the Notes pane.
- Accepted File Types: PNG, JPG, JPEG, HEIC, GIF, PDF, XLS, XLSX.
- Maximum File Size: 10MB.
Sharing Your Notes with Clients
You can easily share the Plan with your client.- How to Share with Client:
- Click the Share with Client button next to the Plan to send your notes directly via the Messenger section of the app.
- This will open the Messages page and will pull the text automatically.
- Any files attached to the plan will be pulled up into the Messenger for your convenience, and you can decide if to share them or not.
- Click Send to confirm sharing.
- Note: You can only share the Plan & Next Steps section of your notes. The other sections are for your eyes only.
Saving Your Notes
Once you've entered all necessary details:
- Click Save to store your notes.
- If you’ve shared notes with the client, they will receive them in the Messages page.
- Multiple notes management:
- For clients with multiple bookings, you can save Notes for each booking and flip between them by clicking on "Previous Note" or "Next Note" on the bottom of the Notes window.
Using the Client Notes feature ensures that both you and your clients have a structured, ongoing record of their healing journey, fostering better communication and session continuity.
FAQs: Using the Client Notes Feature in Your Bookings
1. Can I edit my notes after saving them?
Yes, you can revisit and edit your notes at any time by navigating to the Bookings page and clicking on View Notes. Simply make the necessary updates and save your changes.
Alternatively, you can view Client Notes by visiting the Client page accessible from My Clients page under the Connections tab.
2. Are client notes visible to my clients automatically?
No, notes are private by default. If you want to share specific notes with your client, you must click the Share with Client button, which will send the notes through the Messenger section of the app.
3. Can I upload multiple files to a single session note?
Yes, you can upload multiple files as long as they are within the accepted file types (PNG, JPG, JPEG, HEIC, GIF, PDF, XLS, XLSX) and do not exceed the 10MB file size limit.
4. What happens if I accidentally delete or overwrite my notes?
At this time, once a note is updated by clicking the Save button, previous versions cannot be restored. If you need to keep a record of past notes, consider downloading or saving them externally before making significant changes.
